Resource Management
Manage your available resources (rooms, chairs, equipment) and link them to services for automatic availability checking when booking.
The resources feature in Meety allows you to manage available resources for your business (such as rooms, chairs, equipment) and automatically check their availability when creating bookings. The system ensures that services requiring specific resources will only be available when those resources are actually free.
What are resources?
Resources are assets that your business needs to provide services. They can be:
- Rooms - for example, treatment rooms, studios, conference rooms
- Equipment - for example, massage tables, chairs, cameras
- Other resources - any items with limited availability
Each resource has a quantity set (how many units you have available) and can be linked to services that require it.
Creating a resource
- Go to the Resources section in your business's main menu
- Click the New Resource button
- Fill in the basic information:
- Name - for example "Massage table 1", "Room A", "Canon camera"
- Description (optional) - additional information about the resource
- Quantity - how many units of this resource you have available
- Click Save
A new resource will be created with a default quantity of 1. You can adjust the quantity later as needed.
Availability management
In the details of each resource, you can:
- Edit quantity - change the number of available units
- View services - see which services use this resource
Quantity usage example
If you have, for example, 5 massage tables:
- Set the name: "Massage table"
- Set the quantity: 5
- Each massage booking will automatically reserve 1 table
- The system ensures that the limit of 5 concurrent bookings is not exceeded
Linking resources to services
To have the system automatically check resource availability when booking, you need to link them to services:
- Go to the service settings (for example "Back massage")
- Open the Resources tab
- Click Add Requirement
- Select a resource and specify the quantity of units needed for this service
- Save the changes
Configuration example
Service: Studio photography
Resources:
- Studio A: 1 unit (you need 1 studio)
- Canon camera: 1 unit (you need 1 camera)
- Lights: 3 units (you need 3 lights)
For each photography booking, the system will automatically check if the following are available:
- 1x Studio A
- 1x Canon camera
- 3x Lights
How availability checking works
When a client creates a booking:
- The system loads all resources required by the service
- Checks the current quantity of each resource
- Determines how many units are already reserved in the given time period (including buffer time)
- Compares available quantity with required quantity
- If all resources are available, the booking is created and resources are automatically reserved
- If any resource is not available, the booking cannot be created
Buffer time
The system automatically takes into account the service's buffer time. If a service has, for example, 15 minutes of buffer time before and after the service, resources will be reserved during this buffer time as well to ensure they are available throughout the entire service period including preparation.
Resource reservations
When a service booking that requires resources is created:
- Resources are automatically reserved for the given time period
- The reservation includes the service's buffer time
- When the booking is cancelled, resources are automatically released
Reservation example
Booking: Back massage, 14:00 - 15:00
Buffer time: 15 minutes before and after
Resource: Massage table 1
The resource will be reserved from 13:45 to 15:15 (including buffer time).
Removing a resource
You can only remove a resource if:
- It is not used by any service (first remove it from service requirements)
- It has no active reservations
If you try to remove a resource that is still in use, the system will alert you and provide information about where it is being used.
Best practices
Resource organization
- Use clear names - for example "Room A" instead of "Room"
- Group similar resources - if you have multiple identical items, you can create one resource with a higher quantity
- Add descriptions - help you and your team quickly identify the resource
Quantity settings
- Accurate quantity - set the actual number of available units
- Regular checks - regularly check and update the quantity if it changes
Linking to services
- Accurate quantity - set the exact number of units needed for each service
- Availability check - before creating a service, check that you have sufficient resource quantity
- Updates - if a service's needs change, remember to update resource requirements
Frequently asked questions
Can I have multiple identical resources?
Yes, you can create one resource with a quantity greater than 1. For example "Massage tables" with a quantity of 5.
What happens if I change a resource's quantity?
The quantity change takes effect immediately when checking availability for new bookings. Existing bookings are not affected.
Can I use the same resource for multiple services?
Yes, one resource can be used in an unlimited number of services. The system automatically checks total availability for each booking.
How does booking work if a service requires multiple resources?
The system checks the availability of all required resources. The booking is only created if all resources are available simultaneously.
Can I manually edit a resource reservation?
Resource reservations are created and managed automatically based on service bookings. When a service booking is cancelled, resources are automatically released as well.
How do resources work when a client selects multiple services at once?
When a client selects multiple services when creating a booking, the system automatically combines resource requirements from all selected services. For each resource, the highest required quantity from the selected services is used, not the sum. This means that if Service A requires 1 room and Service B also requires 1 room, the booking will only need 1 room (not 2), because resources can be shared between services during the same booking.
