Setting Availability

Learn how to set working hours, opening hours, holidays and vacations. Find out how to set availability for the entire business or individual team members.

Availability determines when clients can book services. In this article, we'll show you how to set working hours, holidays and vacations. These settings do not apply to group lessons - they have their own predefined time slots. More about group lessons.

Where to Find Availability Settings

Go to the Availability section in the main menu of your business. Here you'll find all options for setting availability. However, you can also create free slots from the calendar.

Business Working Hours

Business working hours determine the basic opening hours for the entire business.

Setting Working Hours

  1. In the Availability section, select Opening Hours (not a specific team member)
  2. For each day of the week, you can set whether the business is open or not, and set opening times. If you need to add a lunch break, click "+" and add multiple time segments.
  3. Click Save

Working hours are used as the default for all team members who don't have their own availability set.

Individual Team Member Availability

Each team member can have their own availability that differs from business working hours.

Setting Individual Availability

  1. In the Availability section, select a team member
  2. Click Create Custom Availability. For each day of the week, set opening hours similar to the entire business.
  3. Click Save

This team member will be available for reservations only during the specified time.

If you want a team member to use the default business availability again:

  1. Select the team member
  2. Click Use Default Availability
  3. Individual availability will be removed and the default will be used

Displaying Working Hours in Calendar

In the week view, times when the business is closed are shaded in gray. In the day view, where each team member is in a separate column, each member's working hours are displayed.

Holidays

The system automatically loads national holidays for your country after creating the business. You can choose which holidays should block reservations.

  1. In the Availability section, select Opening Hours or a team member
  2. In the Automatically set as unavailable during public holidays section, select holidays that should block reservations
  3. Save changes by clicking the Save button

Custom Vacations and Free Slots

You can create custom vacations that can apply either to the entire business or to individual team members.

  1. In the calendar, click the Add New - New Free Slot button, or click and drag in the calendar to create a free slot at a specific time. Clicking in the top part of the calendar creates an all-day event.
  2. Select whether the free slot should apply to the entire business or only to a specific member
  3. Select date and time, and whether the free slot should repeat regularly.
  4. Enter a name (will be pre-filled)
  5. Click Create

Vacations block time slots, and clients cannot book appointments during them.

Frequently Asked Questions

Can I have different availability for different services?
Not yet, but it's something we're planning. Availability is set for the business or team member, not for services. All services use the same availability.

How does availability work with multiple team members?
If a service has multiple team members, the system will display time slots when at least one member is available.

Can I set availability only for specific days?
Yes, you can set availability only for specific days of the week. Other days can be left closed.

How do national holidays work?
National holidays are automatically loaded for your country. You can choose which holidays should block reservations.

Can I have different availability for different months?
Yes, you can create vacations or holidays for specific periods that temporarily change availability.
