Team Member Settings

Learn how to set permissions, assign services, set availability and other advanced settings for team members.

Roles and Permissions

Each team member has an assigned role that determines their permissions in the system.

Role Types

Owner

  • Has full access to all functions
  • Cannot be removed or changed
  • Automatically assigned when creating the business

Admin

  • Can manage services, all reservations and business settings
  • Can add and remove team members
  • Can change business settings

Staff

  • Can create and manage their own reservations
  • Can see the calendar and their reservations
  • Cannot change business settings or services

Changing Role

  1. Click on the team member
  2. In the Role section, select a new role from the dropdown
  3. The change is saved automatically

Warning: Changing the role may affect the member's access to various functions. Make sure the new role is appropriate.

Service Assignment

Each team member can be assigned to one or more services. Only members assigned to a service can provide it.

Assigning Services

  1. Click on the team member
  2. In the Services section, select services that the member can provide
  3. Changes are saved automatically

If a member is not assigned to any service, they won't be visible on the booking page.

Automatic Assignment

When you create a new service, all team members are automatically assigned to it. You can later adjust which members can provide the service.

Availability for Reservations

You can set whether a team member is available for reservations. If a member is unavailable, they won't appear on the booking page.

Setting Availability

  1. Click on the team member
  2. In the Availability section, enable or disable Available for Reservations
  3. The change is saved automatically

If a member is unavailable, they can still see the calendar and manage their reservations, but clients won't be able to select them when booking.

Team Member Priority

You can set team member priority for services. When selecting the "Anyone" option, the system will automatically assign the member with the highest priority.

Setting Priority

Priority is set in service settings, not in member settings. In the service, you can arrange team members by priority.

Automatic Member Selection

When a client selects the "Anyone" option, the system automatically assigns an available team member. There are two strategies:

"Round-robin" Strategy

The system assigns team members alternately to distribute reservations evenly among all members.

"Order" Strategy

The system assigns team members according to order - first the member with the highest priority, then the next, etc.

The strategy is set in service settings.

Non-Service Team Members

Some team members may not provide services but may be needed for other tasks (for example, reception, manager).

Setting a Non-Service Member

  1. Click on the team member
  2. Disable Available for Reservations
  3. The member won't be visible on the booking page, but can still have access to the system

Non-service members can have Admin or Staff roles and can manage reservations and the calendar.

Email Notifications for Members

You can set whether team members should receive email notifications about new reservations.

Setting Notifications

Notifications are set globally in business settings, not for individual members. All team members will receive notifications if they are enabled.

Team Member Reviews

After completing a service, clients can review team members. Reviews are displayed in the member's profile.

Viewing Reviews

  1. Click on the team member
  2. In the Reviews section, you'll see the average rating and number of reviews
  3. You can click View All for a detailed overview

Reviews help clients choose the right team member.

Tips for Settings

Permissions

  • Minimum Permissions - give members only the permissions they actually need
  • Admins - use the Admin role only for trusted members
  • Staff - most team members should have the Staff role

Services

  • Precise Assignment - assign members only to services they actually provide
  • Flexibility - a member can be assigned to multiple services
  • Updates - regularly check and update service assignments

Frequently Asked Questions

Can a team member have different roles for different services?
No, the role is global for the entire business. A member has one role that applies to all services.

Can I have a team member without assigned services?
Yes, but such a member won't be visible on the booking page. They can still have access to the system and manage reservations.

How does automatic selection work with multiple services?
If a client books multiple services at once, the system will try to assign the same team member for all services, if possible.

Can I change the owner's role?
No, the owner's role cannot be changed. The owner always has full access.

How does priority work in automatic selection?
Priority is determined by the order of team members in service settings. A member with a higher order has higher priority.
